Copy templates

One way to save time in the process of adding copies to a record is to create a copy editor template. This can be done while in the copy editor of an item. It doesn't have to be the item you want to apply the template to, but it can be.


How to create a copy template

Retrieve a record.


Click on Actions for this Record and select Holdings Maintenance.


The holdings will display. Click on any copy and Click on Actions for Selected Rows and select Edit Items (or right click on a copy and select Edit Items).


The Copy Editor will open in a new window.


Make changes to the copy that you want to be in your copy template. For example, if you were making a copy template for new books, you might choose BOOK as a Circulation Modifier, Short for Loan Duration, and a Location/Collection of New.


Once you have added all the values you want in your copy template, click on the Save button to the upper right on the dark gray Templates bar. A box will pop up asking you to "Enter template name:" Enter in a name for your template and click on the OK button.


A new window will pop up with the message: “Template…. was saved”. Click on OK.


The template is now saved. You can close out of the item record if you want. If you want to save those changes to the item, click on the Modify Copies button in the lower right.


Applying a copy template

Retrieve a record that has an item attached that you want to apply a template to.


Click on Actions for this Record and select Holdings Maintenance.


The holdings will display. Click on the copy you want to apply the template to and click on Actions for Selected Rows and select Edit Items (or right click on a copy and select Edit Items). You can select multiple copies by clicking on a copy, holding down the Ctrl key on the keyboard and clicking on the other copies to select them.


The Copy Editor will open in a new window.


In the drop-down in the dark gray Templates bar, select the template you want to apply to the item/items.


Click on the Apply button. All the changed fields will be highlighted in green (the values from the template).


Click on Modify Copies to save your changes.


It is important to remember that when using templates, SAVE will save the changed values to a new template while APPLY will apply a template to items. It is easy to accidentally override existing templates.


Deleting a copy template

Retrieve a record.


Click on Actions for this Record and select Holdings Maintenance.


The holdings will display. Click on any copy you want and click on Actions for Selected Rows and select Edit Items (or right click on a copy and select Edit Items).


The Copy Editor will open in a new window.


In the drop-down in the dark gray Templates bar, select the template you want to delete.


Click on the Delete button.


A box will pop up with the message "Delete template "..."? click on OK to delete the template and Cancel to keep the template.


If you click on the OK button, another box will pop up with the message "Delete template"..."? - click on OK.


The template has been deleted.
