Offline Circulation Overview

If Evergreen isn't working or the network goes down, you can use Evergreen's offline circulation called Standalone Interface. You can handle simple tasks like checking items out, renewing items, and checking items in. When the network returns, we'll merge all the offline transactions into Evergreen's database.

Entering Offline Circulation

If the network goes down while you are using Evergreen, you’ll get a series of Network Failure error messages. There are several ways to get into Standalone Interface, but it is best to use the Evergreen log-in screen.

  • If you are in Evergreen, confirm and close all network failure errors. Do not use the Proceed Offline button.
  • Close the Evergreen window.
  • Open the Evergreen log-in screen and click Log Off.
  • Click Standalone Interface.
  • If you are not logged into Evergreen already, simply open the Evergreen log-in screen and click Standalone Interface.
  • The Standalone Interface opens with a salmon-colored box and some circulation options.

  • Of these circulation options, we will use only Checkout, Renew, Checkin (only when absolutely necessary), and Last Receipt.

Checkout

Open the Standalone Interface and click Checkout.

  • Make sure the date on the left end of menu bar is the correct date.
  • Scan patron's library card barcode.
  • Check that the due date is correct. You may need to change this depending on whether you are checking out a book or a movie. To change the due date, click on the small down arrow and choose the correct setting. You must select the proper due date before scanning the item.

  • Scan or type an item barcode. It will appear on the right side of the screen.
  • You may instead choose an ephemeral item from the drop-down box below the barcode field.
  • Scan all the patron's items, changing the due date as necessary.
  • Check the Print receipt box.
  • Click Save these transactions.

Renew

To renew items, you need the item barcodes. You can't renew items simply with the patron's library card number.

  • Click Renew. Standalone Renew looks and works exactly like Standalone Checkout
  • Make sure the date on the left end of menu bar is the correct date.
  • Scan patron's library card barcode (the patron's barcode is optional).
  • Check that the due date is correct. You may need to change this depending on whether you are renewing a book or movie. To change the due date, click on the small down arrow and choose the correct setting. You must select the proper due date before scanning the item.
  • Scan or type an item barcode. It will appear on the right side of the screen.
  • Scan all the patron's items, changing the due date as necessary.
  • Check the Print receipt box.
  • Click Save these transactions.

Checkin

Because of the all the complications checkin creates when not linked to the holds process, we will use Standalone Checkin rarely, if ever. Only if the system is down for long periods and the benefits of checking items in outweighs the difficulties of sorting through the exceptions generated will we use it.

  • Click Checkin.
  • Make sure the date on the left end of the menu bar is the correct date. You are not able to back date or exempt charge items in Standalone Checkin.
  • Scan an item barcode. It will appear on the right side of the screen.
  • If you want a receipt to print, check the Print receipt box.
  • Scan any other items you want to check in.
  • Click Save these transactions.

Last Receipt

Last Receipt re-prints the last receipt you printed.

  • Click Last Receipt

Exiting Offline Circulation and Next Steps

Exit the Standalone Interface when the network comes back up and you are ready to go into the Evergreen Staff Client.

  • If you haven't already, click Save these transactions in all Standalone Interface options you used.
  • Click Exit.


After exiting the Standalone Interface, notify your system administrator so that your transactions can be uploaded to the Evergreen database.
