How to access it

There are a couple of ways to access the patron registration page. They include:

  • Click on the Patron Registration button
  • Click on the Circulation menu and select Register Patron


The Register Patron screen will display.


In version 2.1 of Evergreen, the patron registration screen is very configurable. In the Local Administration menu, under Library Settings Editor, options include choosing what default patron identification type will display as well as the ability to configure which fields you want suggested, required or even viewable. For further information on the Library Settings Editor - see::: the Admin section.


This is a view of the Michigan Evergreen training database patron registration screen - it is just one example of how a patron registration screen can look.


On the upper right of the screen, notice the options to Show Only Required Fields and Show All Fields. This allows you to toggle between all fields, required fields, and (when you are viewing only required fields), the suggested fields. Each library can determine which fields fall under what group.


Any fields that are shaded in yellow with an explanation point at the end of the field mean that those fields are required or the values entered in are invalid, and correct values must be entered in them in order to create the patron record.


General fields

  • Barcode – Where you scan/type in the patron/user’s barcode.
  • OPAC/Staff Client User Name – When you click in this box, it should automatically populate with the patron/user's barcode. You also have the option to enter in a different user name.
  • Password - You have the ability to enter in a password for the patron/user, however there is an option in the Library Settings Editor that takes the password from the last four digits of the patron's phone number after it is entered in the record. Remember that this is the password that the patron/user will use to log in the first time to create a password of their choosing.
  • Verify Password - This will automatically populate if the password is taken from the patron/user phone number. Otherwise you must type the password you manually entered in the Password field for verification.
  • First Name - Patron/user first name.
  • Middle Name - Patron/user middle name
  • Last Name - Patron/user last name.
  • Suffix/Title - For example: Jr., Sr., Esq., III
  • OPAC/Staff Client Holds Alias -
  • Date of Birth - When the patron/user was born.
  • Juvenile - Check the box if the patron/user is a juvenile.
  • Primary Identification Type – Select one of the types from the drop-down menu. They include Drivers License, State ID and Other.
  • Primary Identification - The drivers license/state ID/other ID number
  • Parent/Guardian - The name of the patron/users parent or guardian.
  • Email Address - Patron/user email address.
  • Daytime Phone - A daytime phone number the patron/user can be reached at.
  • Evening Phone - An evening phone number the patron/user can be reached at.
  • Other Phone - Another phone number that the patron/user can be reached at - for example, a cell phone.
  • Home Library - The name of the home library of the patron/user. This will automatically be filled in for that library where the patron account is being created. (Which library the workstation is registered to.)
  • Main (Profile) Permission Group - The profile group the patron belongs to, for example, Patron, Non-Resident, Staff, Juvenile, etc. This field will ALWAYS be required.
  • Privilege Expiration Date - This will automatically populate after the profile/permission group is chosen. These dates are set up when the profile/permissions groups are created.
  • Internet Access Level - Choose Filtered or Unfiltered or No Access.
  • Active - Whether or not the patron/user account is active.
  • Barred - Whether or not the patron/user account is barred - ie - cannot check anything out at all ever.
  • Is Group Lead Account - Whether or not the patron/user is the group lead - for example, the head of a family. Group members can be viewed from the patron account by clicking on the Other button and selecting Group Member Details.
  • Claims-returned Count - The number of items the patron has claimed to return. This number is generated by the number of times staff sets an item (of the patron's) as "Claims Returned."
  • Claims Never Checked Out Count - The number of items the patron claims they never checked out. This number is generated by the system when staff sets an item (of the patron's) to "Claims Never Checked Out."
  • Alert Message - A place for staff to enter in alert messages on the patron/user account. Alert messages will show immediately after a patron/user account is retrieved.
  • Hold is behind Circ Desk - Whether or not the patron/user hold is kept behind the circulation desk. For example - when holds are self-service.


Addresses

Each patron/user is allowed multiple addresses.


  • For each address, there is the option to choose what sort of address it is - Mailing or Billing.
  • Type for the first address will default to MAILING, although you can manually type in a different type of address (for example - "Home Address" for a student)
  • Postal Code - Zipcode of the patron/user.
  • Street (1) - Patron/user street information
  • Street (2) - Space for more patron/user information
  • City - The city where the patron/user resides.
  • County - The county where the patron/user resides.
  • State - The state where the patron/user resides.
  • Country - The country where the patron/user resides. Note - you can set this field to display a default country, for example Canada or U.S.A..
  • Valid Address? - Whether or not the patron/user address is valid.
  • Within City Limits - Whether or not the patron/user address is within city limits.


Below the first area for an address is an option to enter in a second additional address.


In order to add even more addresses, click on the New Address button.


Statistical categories

Below the address information are statistical categories (stat cats).


Statistical categories are used for defining groups for statistical reports. They may or may not be filled in according to library policies. For example, a library may have a statistical category of patron/user township. Each library will have their own statistical categories that they create in the Local Administration module of Evergreen.


These are just some examples of statistical categories created for the Michigan Evergreen training database. Many are quite ridiculous.


To select a statistical category, either click on the drop-down menu to select a choice or manually type in a value in the field provided.


Saving

After the Register Patron form has been filled out, click on the Save button that floats in the upper right of the screen. The screen will refresh and display a blank Register Patron form.


Save & Clone would save the current patron/user record and open up a new Register Patron form with the address already filled as well as the message: "This address is owned by another user: (with a link to that patron/user record. Save & Clone is useful for allowing you to register several members of one household without having to type in the address information each time for each patron/user.
