Types of holds

There are four types of holds that can be placed in Evergreen, in increasing granularity:


Metarecord holds

Metarecord holds are the broadest level holds. Metarecord holds can contain multiple iterations of a work, for example, different formats, different editions, and large print, as long as the title is the same. The first title in any format that is available will fulfill the hold request. For example, there are multiple copies of Gone with the Wind in 3 different formats. A patron wants the first available copy in any format. To place a metarecord hold, you would use the Advanced Hold Options when creating the hold to select multiple formats.

To place a metarecord hold:


Search for the title to be held.


Click on the Place Hold link.


In the Enter recipient barcode box, enter in the barcode of the patron who wants the item and click on the Submit button. [Note: if you wanted to place this hold for the account that you are logged in to the staff client with, you could so by clicking on the Place hold for my account button.]


The Create/Edit a Hold screen displays. Many changes can be made to the hold. Click on Advanced Hold Options at the bottom. In the white box, a list of alternative formats will be listed.


Select the formats to the held by clicking on a format, press the Shift key on the keyboard and then click on the other formats to select them.


Click on the Place Hold button at the bottom. If the hold is possible, the system will send the message will be sent: “Hold was successfully placed.” Click on OK.


Title holds

Title holds are the most common type of holds. Title holds are placed on one particular title in one particular format, edition, etc.

Volume holds

Volume holds are those placed upon volumes of a multipart work.


To place a volume hold:


Retrieve a record of a title with multiple volumes in the staff client.


In the Copy Summary of the record, click on the Place Hold link next to the particular volume that is to be held.


The system prompts for the recipient barcode. Enter in the patron/user barcode and click on the Submit button.


The Create/Edit a Hold screen will display. Notice the Hold Type is listed as Volume Hold. Make any necessary changes to the hold and click on the Place Hold button at the bottom.


If the hold is possible, a system message will be sent: “Hold was successfully placed.” Click on OK. The hold is successfully placed.

Copy holds

Copy holds are holds for a particular copy of a particular format of a work. Copy holds are most frequently placed by technical services staff in order to process that particular copy in some way, e.g. repairs, rebinding, etc.


To place a copy level hold:


Retrieve a record of a title with multiple copies, (but not multiple volumes) in the staff client.


In the Copy Summary of the record, click on Copy Details.


The details for the items attached to that record will display. Click on the place hold link next to the particular item to be held.


The system prompts for the recipient barcode. Enter the user barcode and click on the Submit button. Notice that the hold could be created for the staff member who is signed in by clicking on the Place hold for my account button instead of entering in a recipient barcode.


The Create/Edit a Hold screen will display. Notice the Hold Type is listed as Copy Hold. Make any necessary changes to the hold and click on the Place Hold button at the bottom.


If the hold is possible, a system message will be sent: “Hold was successfully placed.” Click on OK. The hold is successfully placed.
